Spending Accounts – Transaction Validation

Spending AccountAs we close the first month with our new vendor, Aon Hewitt Your Spending Account (YSA), employees will begin to receive their first requests to validate spending account card transactions.

When participants use their YSA Card, Aon Hewitt initially holds the transaction for 30 days while they attempt to automatically validate it with data we get from the medical plans.  Thirty-one (31) days after the initial transaction if Aon has been unable to validate it, they will solicit receipts directly from the employee. Often times users are under the impression that the card is paperless and assume no action is ever needed from them.  They may express concern or feel something is wrong when they get the receipt request.  Aon communicates they need to provide their supporting documentation within thirty (30) days of the notice although they will not take an action on the item until forty-five (45) days from the request date.  If participants do not take an action within 45 days, the item is denied.  If employees have a total of $100 or more in undocumented transactions (after 45 days), their card will be temporarily suspended until the transactions have been validated.

 

This should not be a significantly new process for any of us, but I wanted to give everyone a heads up.  Attached is the sample notice the employee will receive.
